Seneca East Public Library Board of Trustees

September 8th, 2021

The September 8th, 2021 meeting of the Seneca East Board of Trustees was called to order by President Janet Ruffing at 7:28 P.M. Trustees in attendance were: Janet Ruffing, Kim Ohl, Ruth Pifher, Vicki Eckenrod, and Jeff Beaston. Library staff attending included Fiscal Officer Pamela Dunson, Library Director Shannon Featheringill,

and Children’s Librarian Chris Lambert.

Approval of Minutes: The minutes of the August 18th, 2021 meeting were reviewed and approved with a motion by Jeff Beaston, a 2nd by Kim Ohl, and approval of all remaining board members by voting “aye”.

Fiscal Officer’s Report: The board reviewed the August 2021 bills as well as reviewing and initialing the August 2021 Bank Reconciliation and Management Reports as presented by the Fiscal Officer.

Resolution #559 – To supplement appropriations according to the directions of Director Shannon Featheringill, for the unencumbered donations received from the period of 8/17/2020 –9/6/2021. The total amount of donations to be appropriated is $177.81. Itemization is as follows: Adult Books $100.19 and Adult AV $77.62. A

motion to approve Resolution #559 was made by Ruth Pifher with a 2nd by Vicki Eckenrod, and the motion passed with approval by all remaining board members voting “aye”.

Resolution #560 - To increase appropriations account #2802-200-450-4192 Supplies $294.44 from Furniture and Equipment account #1000-760-750-0000. This is to correct the carryover Purchase Order from 2020 that was not able to be used. Therefore, this is tying up CRF money that needs to be cleared out before year end and before the grant money expires.

Director’s Report: Director Featheringill reported a total Patron Count for August of 3170 with 26 days open.

Old Business: There are no updates on signs. Two messages were left with Choice Lawn Care and Gardens, but no response. Deliveries from the courier are becoming more regular. Covid-19 tests are in high demand. An additional 200 tests have been ordered and 184 have been distributed.

New Business: Circulation and public catalog computers have been extremely slow. Buckeye IT recommended replacement. Director Featheringill ordered two computers for $1648.52 and a new ethernet switch. Staff refrigerator has not been maintaining temperature. Director Featheringill will order a new one.

Grants: All Cares Act Grant money ($1700+) has been spent.

Policy: Policy committee will meet this winter. Disaster Plan is making progress.

Building Update: Dave Stallings plans to double the capacity of the downspouts and will run heat tape down the spouts. He also suggests increasing the gutters from 5 inches to 6 inches. He will be in contact with gutter specialist and standing seam specialist to finalize a plan and gather an estimate.

Staff: Director Featheringill will take vacation from November 15-19. Interviews have been held for both open positions. She plans to make decisions next week.

Children’s Room Report: Still waiting for confirmations of in-school story time. Teachers have been signing up for teacher collections. Preschool will be coming to the library once a week. Music & Movement has been well attended. The Teen Board begins on September 9th. Brick Builders begins next week. 1000 Books Before

Kindergarten launches on October 7th. Scavenger Hunt and Craft Kits are going well.

Foundation News: Reverse Raffle dinner will be held on September 11th. Tickets are available for the Quilt Raffle. The next Foundation meeting will be held September 20th at 7 P.M.

Board Old Business: The board will need to look at abatement for the Historical Society rent to decide if any changes will be made.

Board New Business: No new business items.

The next meeting of the Seneca East Library Board will be October 20th, 2021 at 7:30 PM.

There being no further business to conduct, Ruth Pifher made a motion to adjourn at 8:34 PM.
