Seneca East Public Library Board of Trustees

September 14, 2022

The September 14, 2022 meeting of the Seneca East Board of Trustees was called to order by President Janet Ruffing at 7:30 P.M. Trustees in attendance were: Janet Ruffing, Kim Ohl, Tina Shook, Ruth Pifher, Vicki Eckenrod, and Jeff Beaston. Library staff attending included Fiscal Officer Pamala Dunson and Library Director Shannon Featheringill.

Approval of Minutes: The minutes of the August 17, 2022 meeting were reviewed and approved with a motion by Ruth Pifher, a 2nd by Jeff Beaston, and approval of all remaining board members by voting “aye”.

Fiscal Officer’s Report: The board reviewed the August 2022 bills as well as reviewing and initialing the August 2022 Bank Reconciliation and Management Reports as presented by the Fiscal Officer.

Resolution #577 – To supplement appropriations according to the directions of Director Shannon Featheringill, for the unencumbered donations received from the period of 8/9/2022-9/11/2022 and transfer $500.00 from Contingencies to Computer Services for the new public computers. The total amount of donations to be appropriated is $481.04. Itemization is as follows: Adult Books $105.00, Children’s Books $73.75, Adult Media $36.38 and Supplies $265.91 A motion to approve Resolution #577 was made by Kim Ohl with a 2nd by Vicki Eckenrod, and the motion passed with approval by all remaining board members voting “aye”.

Director’s Report: Director Featheringill reported a total Patron Count for August of 3269 with 27 days open.

Old Business: There are no updates on the Brakeall Estate. Modern Office Methods will assume liability of the current copy machine. The new machine should be in within the month or so.

New Business: Buckeye IT sent two quotes to replace public computers, which was recommended after repeatedly trying to clean them up to work faster. One quote is for the replacement of the three oldest (purchased in 2014) and one to replace all five. The decision was made to replace the three oldest computers at this time (see Resolution #577 above). SEPL will be hosting an OLC Small Libraries Division Forum on September 15. Michelle Francis from OLC will be here to provide an update on state funding and what to expect for the PLF. Discussion was had on the Banned Books Week Display.

Legislative: The ODT posted the September 2022 PLF distribution of $43,422,753, which is 7.34% above the July 2021 estimate. PLF Calendar Year 2022 year-to-date total is $378,754,176.

Building Update: Bob Hebert started the heat tape installation on Wednesday, September 7 and has completed the job. Dave Stallings will be contacted regarding other roof issues. Requesting further clarification on estimates for landscaping maintenance before proceeding.

Staff: Joanne Bernard will be taking the part-time clerk position beginning September 26th. Director Featheringill will attend the OLC Convention September 28th-30th.

Children’s Room Report: Fall sessions of Storytime and Music and Movement have started. The first combination Teen Board meeting and Teen Activity was held September 8th. Four teens attended and six were here for Teen Activity. For October, we are planning to paint pumpkins. Brick Builders will return September 15th. The Mini Makers program for school agers will start October 6th with a Spooky Science program. Passive programming for the month has included a “Question of the Week” and Take and Make crafts. Next week we will begin a Scarecrow Scavenger Hunt that will run through the end of October. Bi-weekly visits with In His Care will begin September 21st. Monthly visits at the elementary school begin September 22nd. We will be visiting 6 classrooms. We have also been invited back to collaborate with the school library for Maker activities. Our first visit will be September 30th with middle schoolers. We will be playing Lego Charades. Next month we will meet both 5th grade and middle school students.

Adult Services Report: A booth was set up at the Attica Fair advertising our different activities available. There were 4 patrons in attendance for the Recycled Book Art on August 29th. September 12th was the Magazine Silhouette Strip Art and one patron attended. The Book Club will be discussing The Book of Lost Names by Kristen Harmel on September 13th. A Trivia Night will be held September 27th. On October 3rd, we will be making Toilet Paper Pumpkins. For passive programming, there were 2 checkouts from the Despicably Great Books display and 6 checkouts from the He’s a 10, but…display. There are also current displays on Banned Books Week.

Foundation News: The Reverse Raffle will be held September 17th. Anyone that plans on helping is to be at the fairgrounds by 4 P.M. to eat. Doors open at 5:30 P.M. and serving begins at 6 P.M. The next Foundation meeting is Tuesday, September 19th.

Old Board Business: We are working with Shirley Williams of the Attica Area Historical Society to facilitate the transfer of funds from Sutton Bank to the SEPL.

Board New Business: There are no new business items.

The next meeting of the Seneca East Library Board will be October 12th, 2022 at 7:30 P.M.

There being no further business to conduct, Tina Shook made a motion to adjourn at 8:29 P.M.
